When the decision is clear, the surrounding design becomes concrete: which records matter, who must approve an answer, what needs to be logged, and what the fallback should be when confidence is low.

Make access rules part of the product
Permissions cannot remain an infrastructure concern that appears after a prototype is already useful. The retrieval, interface, and escalation path should all reflect the same identity and authorization model people use elsewhere in the organization.
This keeps the AI experience from creating a parallel way to access information. It also gives leaders a way to explain what the system may do, what it may not do, and when a person needs to take over.

The best first release is deliberately bounded. It connects a limited set of trusted sources to a repeatable workflow, includes clear review conditions, and gives the team a way to observe how people use it.
That boundary creates evidence for the next investment. It is more valuable than a broad demonstration because it proves that data, identity, workflow, and accountability can work together.
